How to Download a Teams Meeting Transcript, and Who Can
Where a Teams meeting transcript is saved, how to download it as .docx or .vtt, who can download it by default, and what to check when the Download button is missing.
Summary
- After the meeting, open its chat in Teams for desktop, select Recap, then Transcript, and pick .docx or .vtt from the Download menu.
- By default only the organizer and co-organizers can download it. Others in their organization can view it and must ask the organizer for a copy or access.
- A transcript exists only if transcription ran during the meeting. Live captions on screen aren't saved.
- If Download is missing, you aren't an organizer or co-organizer, the organizer limited access, or an admin blocked downloads or transcription.

Where Teams saves the transcript
A Teams transcript is ready as soon as the meeting ends. According to Microsoft's transcript guide, you'll find it in the meeting event on your Teams calendar and under Recap in the meeting chat. The file itself is stored in the organizer's OneDrive for Business, and Teams keeps showing it in the chat and Recap until an organizer deletes it or it expires under the recording expiration policy.
Channel meetings are the exception. Under the Teams recording policies for admins, their recordings and transcripts go to a Recordings folder in the channel's SharePoint site and follow the channel's permissions, like any other file posted there.
The transcript is a separate file from the meeting recording. Captions aren't captured in meeting recordings or their downloads, so the .mp4 won't give you the text. Only the organizer can download the recording anyway.

Downloading it in Teams for desktop
If you organized the meeting or were made a co-organizer, these are the download steps in Microsoft's transcript guide as of October 5, 2026:
- Select Chat in Teams.
- Open the past meeting's chat.
- Select Recap.
- Select Transcript.
- Select the arrow next to Download and choose .docx or .vtt.
Take .docx if you want to read or edit it in Word. A .vtt file is timed text for caption and video tools.
The Teams mobile app can show the transcript after the meeting (Chat, then the past meeting, then Transcript under the Meeting ended message), but the mobile steps don't include downloading it. For people who joined on a phone, an organizer or co-organizer can download the file on a computer and attach it to the meeting chat.
If the meeting used live translated transcription, a Teams Premium feature, only the original-language transcript is stored. Past translations aren't.
If you're not the organizer
The permissions table in the transcript guide sets what each participant gets after the meeting:
- People in the organizer's organization can view the transcript but can't download it, unless the organizer lets them download it through Stream.
- People from another organization (a different tenant) can follow the live transcript during the meeting, but can't view or download it afterwards.
- Anonymous participants can't see it at all, and neither can people who called in by phone.
So the copy has to come from an organizer or co-organizer. Ask them to download it and send it, or to give you download rights. To set transcript permissions, the organizer opens OneDrive in Teams, goes to My files → Recordings, points at the recording, and selects More actions → Manage access → Grant access. They enter your name, then choose Can edit, Can view or Can't download. Ask for Can view or Can edit. Some of those options may be missing, depending on IT policies.
The organizer can also share it from Stream. Microsoft's I can't transcribe a meeting page has the steps: Recap, pick the transcript, Open in Stream, then Share. Under Link settings, they should pick Can view, which lets you view and download it. If you open a transcript you don't have access to, you can request access from the page that opens. The owner approves it from an email, so tell them the request is waiting.
When Download is missing or greyed out
Work through these in order:
- Recap has no transcript, or there's no Recap at all. Recaps appear only for meetings that were recorded or transcribed. Recording a meeting starts transcription automatically, but if recording is on and transcription is off by policy, the recording has no transcript file next to it, as the Teams admin page on transcription explains. Transcription has to be allowed for both the organizer and the person who starts it. IT can run the Teams transcripts diagnostic tool in the Microsoft 365 admin center to check whether an account meets the requirements to transcribe.
- You can read the transcript, but there's no Download. That's the default for anyone who isn't an organizer or co-organizer. See the previous section.
- You can't open it at all. In meeting options under Recording & transcription, the organizer can limit Who has access to the recording or transcript to organizers and co-organizers, or to specific people.
- Nobody in your organization can download meeting files. A SharePoint admin can block downloads of new meeting recording and transcript files from OneDrive and SharePoint across the organization. People can still play recordings and view transcripts in the browser, and admins can exempt chosen security groups. Channel meetings have a separate setting in the recording policies: with downloads blocked, recordings and transcripts are saved to a View only folder, where channel owners keep full access and members can only view.
- It was there and now it's gone. An organizer or co-organizer may have deleted it, or it may have expired. Under the recording expiration policy, recordings and transcripts expire after 120 days by default, and admins can change that. Expired files go to the recycle bin of the OneDrive or SharePoint site where they were saved, so ask the organizer or the channel owner soon: once they're purged from there, they can't be recovered.
- You can open it but can't copy from it. Organizers can stop participants from copying or forwarding chat, live captions, transcripts and the AI-generated insights in the recap, if the admin policy for transcription lets them.
Cases 1 and 4 are settings only IT can check. Tell them which one you're seeing, and say if it was a channel meeting, since those files sit in the channel's SharePoint site.
When nobody started transcription
Teams doesn't save live captions, which our guide on saving Teams captions covers. A meeting that had captions but no transcription has no transcript to download, then or later.
Copilot doesn't change that. If the organizer set Copilot to Only during the meeting, Copilot works during the meeting, but turning it on doesn't start transcription. Microsoft's page on using Copilot without transcribing says Copilot won't be available in the meeting's Recap afterwards unless transcription or recording was turned on, and then only from the moment it started.
Starting it next time
To start a transcript in Teams for desktop, select More actions → Record and transcribe → Start transcription, confirm the language everyone is speaking, then select Confirm. Live transcription runs only on desktop. If your meeting is on Google Meet instead, our guide on starting a transcript in Meet covers it.
Everyone in the meeting sees a notification that it's being transcribed, and participants can choose to hide their identity in captions and transcripts. Admins can also require participants to give explicit consent before they're recorded or transcribed, through a setting in the recording policies.
If Start transcription shows a lock icon, hover over it. Microsoft's I can't transcribe a meeting page matches each tooltip to a fix, from guest accounts to an organizer who set Who can record and transcribe to No one.
If you're joining as a guest or from another organization, Start transcription stays locked for you. Ask someone in the organizer's organization to start it, and ask the organizer to send you the file afterwards.
If the organizer won't transcribe
With the agreement of the people in the meeting, and if your organization's rules allow it, you can keep your own caption record on a Mac. Vocena (macOS 15.5 or later) captions what the Mac plays or what its microphone hears, free and with no time limit, and keeps each session in its Library so you can reread it after the meeting. It doesn't produce a Teams transcript or change who can download one.
